Event Policies

Event Entry - At some events, attendees are asked to present a photo ID at entry and, in the event that registration materials are provided by organizer(s), attendees may only collect their own individual registration materials.

 

Accessibility - The event organizer(s) embrace accessibility and full participation and are dedicated to providing ADA-compliant accommodations to people of all abilities.

 

Children - Due to the nature of the event, children are not permitted access to events, unless otherwise advertised as being a child-friendly event.

 

Unattended Personal Items - Personal belongings such as briefcases, backpacks, purses, coats, book bags, laptops, tablets, mobile devices, etc. should not be left unattended at events. These items are the responsibility of their owner and organizer(s) will not be held responsible for their safe keeping should they become lost or stolen.

 

Solicitation - Unless advertised as a networking event, any individual or company who is not an exhibitor and is observed to be soliciting business at the event, will be asked to leave immediately. Unauthorized solicitation is strictly prohibited.

 

Photos and Video - The use of personal cameras or other photo devices is not permitted at events without express written permission from organizer(s). For copyright reasons, recordings of any kind are strictly prohibited without prior written consent of event organizer(s).

 

Image Release - Attendees grant organizer(s) an irrevocable, worldwide, royalty-free, fully-paid up, license to reproduce, copy, display, perform, or otherwise use any photos, videos, or audio recordings taken of attendees by organizer(s)' designated vendor(s) during event, for promotional use (i.e. brochures, publications, blogs, websites, e-newsletters, etc). Attendees release and hold harmless organizer(s) and its agents, and assigns from all claims, demands, causes of action, and liability related to said use of the material.

 

Personal Information - Attendees' information will be part of a database that is accessible only to event organizer(s). Organizer(s) may include the event host, event presenter, and/or event sponsor(s). Organizer(s) may use attendees' contact information to provide attendees with up-to-date information about the event, as well as about other related events, goods, or services. In some cases, organizer(s) may make attendees' contact information available to third parties (exhibitors and supporters), but only for use as related to the event. Organizer(s) will not give attendees' contact information to anyone else without attendees' consent. Attendees who wish to stop receiving communications from third parties must opt-out with those parties directly.

 

Privacy - Organizer(s) is committed to protecting attendees' personal data. The privacy notice on this website outlines how personal data is collected and shared, and how attendees can exercise their privacy rights involving their data.

 

Cancellation - In the event that the event is cancelled, attendees will be returned the registration fee. The organizer(s) of the event shall not be held responsible for any delay or failure in performance of their obligations hereunder to the extent such delay or failure is caused by fire, flood, natural disaster, strike or labor dispute, military authority, imposition of law or regulation, riot or civil unrest, acts of God, acts of terrorism, acts of war, epidemics, pandemics, restrictions or recommendations issued by a governmental agency or recognized health organization such as the CDC or World Health Organization, the un-availability of the venue or other similar exigent circumstance or emergency beyond the organizers' reasonable control, making it illegal, impossible, impracticable, or inadvisable in organizers' sole discretion to hold the event. For one or more of such reasons, the organizers of the event may postpone, reschedule, or cancel the event without liability on their part. In the event the event cannot be held or is postponed pursuant to this policy, the organizers of the event shall not be liable to attendee for any direct, consequential, or incidental damages, costs, or losses incurred, such as transportation costs, accommodations costs, or financial losses.

 

Indemnification - When participating in events, attendees shall bear all risk of injury, illness, death, property damage, or other loss. Attendees agree to release, hold harmless, and forever discharge event organizer(s), and the officers, directors, employees, representatives, agents, successors, and assigns of the event organizer(s) from any and all damages, claims, demands, liabilities, and causes of action arising out of or relating in any way to attendees' participation in the event, including but not limited to the use of the event venue and, if applicable, lodging facilities.
